Financial, Refund, and Telehealth Policy

1. Payment for Services
Â
Payment is due in full at or prior to the start of each session.Â

Self-Pay Clients: The full session fee is charged prior to the session.Â

Insurance Clients: Your estimated copay, coinsurance, or deductible amount is collected prior to the session.Â
Â
We require a valid credit card to be kept on file. This card will be automatically charged for session fees, copays, or any outstanding balances.Â

2. Services Rendered
Â
Fees for completed counseling sessions, consultations, or assessments are non-refundable. Therapy is a collaborative process, and outcomes cannot be guaranteed. Therefore, refunds are not issued based on client satisfaction or clinical outcomes.Â

3. Cancellations and No-Shows
Â
We require at least 24 hours' notice to cancel or reschedule an appointment.Â

Late Cancellations & No-Shows: If you cancel with less than 24 hours' notice, or if you miss your session, you will be charged a late fee equal to 25% of the full service fee.Â

Insurance Note: Insurance companies do not pay for missed appointments. You are solely responsible for this fee, which will be calculated based on our standard contracted rate.Â

Refund Eligibility: Late fees are non-refundable. If you prepaid for a session and late-cancel, 25% of that payment will be retained to cover the fee, and the remaining 75% will be credited back to your account.Â

4. Insurance Claims and Overpayments
Â
Insurance benefits are quoted as an estimate, not a guarantee of payment.Â

Client Responsibility: If your insurance company denies a claim, claws back a payment, or applies the balance to a deductible, you are responsible for the full contracted rate.Â

Refunds for Overpayment: If your insurance pays more than expected, resulting in a credit balance on your account, we will issue a refund to your card on file within 30 days of receiving the insurance remittance. Alternately, you may choose to leave the credit on your account for future copays.Â

5. Account Credits and Practice Cancellations
Â
If this practice must cancel or reschedule your session due to provider illness or emergency, you will not be charged. If you prepaid for that session, a full credit will be applied to your account for your next visit, or a refund will be issued upon request. Unused prepaid balances expire 12 months after your last active session and are non-refundable after that time.Â

6. New Jersey Telehealth & Technology Failure Provisions
Â
In accordance with New Jersey regulations governing telehealth services, the following financial rules apply to tech disruptions:Â

Client-Side Issues: If a session cannot be completed or started due to technical issues on your end (e.g., poor internet connection, device failure), the 25% late cancellation fee will apply if the issue prevents us from completing at least 50% of the scheduled session time.Â

Provider-Side Issues: If the technical failure originates from our platform or provider equipment, you will not be charged. Any prepayment will be fully refunded or credited to your account.Â

Audio-Only Alternative: If video fails but a secure connection can be made via telephone, the session may proceed as an audio-only telehealth session if clinically appropriate under NJ standard of care rules. In this case, standard session fees apply, and your insurance will be billed using the appropriate audio-only modifiers.Â

Jurisdiction Requirement: To comply with New Jersey state licensing board mandates, you must be physically located within the state of New Jersey at the time of your telehealth session. If you log in from outside the state, the session cannot legally proceed, and it will be treated as a late cancellation subject to the 25% fee.Â
